PART A: TERMS OF USE
1. Acceptance
By visiting fieldfolio.io, opening the FIELDFOLIO app, creating an account, or using any FIELDFOLIO feature, you agree to these Terms. If you do not agree, do not use the service. If you use FIELDFOLIO for a business, you represent that you can bind that business.
2. What the service does and does not do
FIELDFOLIO provides tools for organizing job photos, notes, checklists, phases, and shareable folios. It is not a contractor, engineer, inspector, attorney, accountant, insurer, permit office, safety adviser, or project manager. It does not verify measurements, workmanship, code compliance, permits, claims, customer statements, or payment rights. Content, templates, and checklists are general software features, not professional advice.
3. YOUR SOLE RESPONSIBILITY
YOU ARE SOLELY RESPONSIBLE FOR YOUR WORK AND YOUR BUSINESS. You are responsible for job quality, diagnosis, design, materials, installation, safety, building and trade codes, permits, inspections, licenses, contracts, warranties, insurance, pricing, invoices, taxes, customer relations, disputes, deadlines, and every decision made from information in the service. Verify everything with qualified professionals and applicable authorities.
4. Accounts and security
Provide accurate information and protect your credentials. You are responsible for activity under your account and for authorized users, including crew members. Tell us promptly if you suspect unauthorized access. We may refuse, limit, suspend, or terminate access for security, misuse, nonpayment, legal compliance, or operational reasons.
5. Your content, customer data, and backups
Photos, recordings, notes, customer information, job records, messages, and folios you submit are your user-generated content. You represent that you have all permissions and notices needed to collect, use, store, and share it. You must not upload unlawful, infringing, deceptive, abusive, or sensitive information you are not entitled to handle. You are responsible for accuracy, retention, access controls, customer notices, and exports. KEEP YOUR OWN BACKUPS. Local or cloud storage can fail, be cleared, corrupted, delayed, unavailable, or permanently lost.
6. Assumption of risk and release
YOU USE THE SERVICE AT YOUR OWN RISK. You assume all risks from relying on, sharing, losing, or misinterpreting service content; from jobsite conditions and decisions; and from interactions with customers, workers, vendors, or other users. To the maximum extent permitted by law, you release FIELDFOLIO and the site operator from claims arising from those risks.
7. AS IS / NO WARRANTIES
THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE,” WITH ALL FAULTS. To the maximum extent permitted by law, FIELDFOLIO disclaims every express, implied, and statutory warranty, including merchantability, fitness for a particular purpose, title, non-infringement, accuracy, availability, security, and quiet enjoyment. We do not promise uninterrupted, timely, secure, error-free, or virus-free service; preservation of data; compatibility; or any particular result.
8. Third parties
FIELDFOLIO may depend on or link to third parties, including Stripe for payments, Netlify for hosting and forms, and Supabase for authentication or cloud data. Third parties control their own systems, terms, privacy practices, outages, charges, and content. FIELDFOLIO IS NOT LIABLE FOR THIRD-PARTY SERVICES OR ACTS.
9. Indemnity
You agree to defend, indemnify, and hold harmless FIELDFOLIO, its operator, affiliates, service providers, and their respective officers, workers, and agents from and against all claims, demands, actions, liabilities, losses, damages, judgments, costs, and expenses (including reasonable attorneys’ fees) arising out of or related to your use of the service, your content or data, your business or jobs, your customers or workers, your breach of these Terms, or your violation of law or another person’s rights.
10. LIMITATION OF LIABILITY
TO THE MAXIMUM EXTENT PERMITTED BY LAW, FIELDFOLIO AND THE SITE OPERATOR ARE NOT LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, OR FOR LOST PROFITS, REVENUE, BUSINESS, GOODWILL, OPPORTUNITY, DATA, JOB RECORDS, OR SUBSTITUTE SERVICES, REGARDLESS OF THE THEORY OF LIABILITY. Our total aggregate liability for every claim related to the service will not exceed the greater of US $0 or the fees you actually paid to FIELDFOLIO for the service during the twelve (12) months before the event giving rise to the claim. These limits apply even if a remedy fails of its essential purpose and even if we were advised of the possibility of damages. Some laws do not allow certain exclusions; those laws control only to the minimum extent required.
11. Acceptable use
Do not use the service to break the law, infringe rights, harass or harm anyone, upload malicious code, misrepresent identity, interfere with systems, probe security, scrape at scale, evade limits, resell access without permission, or store data you lack authority to handle. We may remove content or restrict access when reasonably necessary.
12. Fees, refunds, and termination
Paid features, if offered, are subject to the price and payment terms shown at purchase. You are responsible for taxes and authorized charges. We may change, suspend, or discontinue features. You may stop using the service at any time; we may terminate or suspend access at any time where permitted by law. On termination, you may lose access to stored content, so export and back up beforehand. Sections concerning responsibility, content, assumption of risk, indemnity, disclaimers, liability, and dispute rules survive.
12a. Age, billing, refunds, and account deletion
You must be at least 18 years old to use FIELDFOLIO. Nobody under 18 may create an account or use the service.
Paid features are billed through our payment provider. Except where law requires otherwise, digital subscription fees are generally non-refundable once purchased. You may cancel future renewals through the payment provider or by contacting support@fieldfolio.io.
Account deletion: You may stop using the service at any time and clear local browser storage. If you are signed in, you can delete your account in the app. To request deletion of an account or cloud data associated with your email, see how to delete your account or contact support@fieldfolio.io. We may retain limited records as needed for security, abuse prevention, accounting, or law.
13. Governing law
These Terms are governed by applicable United States law and, to the extent state law applies, the law of the state where the site operator is organized, without regard to conflict-of-law rules. Any dispute must be brought in a court with jurisdiction, subject to mandatory rights that cannot legally be waived.
14. Changes and general terms
We may update these Terms by posting a revised version. The “Updated” date identifies the current version; continued use after posting means acceptance. If a provision is unenforceable, it will be narrowed to the minimum needed and the remainder remains effective. These Terms and any posted purchase terms are the entire agreement about the service. No waiver is continuing unless written.

PART B: PRIVACY POLICY
B1. Scope and your choice
This policy describes information handled through fieldfolio.io, the FIELDFOLIO app, forms, and related features. By using the service, you acknowledge that data handling has risks and agree to use it at your own risk.
B2. Information we may collect
- Contact and account data: name, email, organization, sign-in identifiers, support messages, and account settings.
- Job content: photos, notes, checklists, phase data, customer or worker details, documents, timestamps, and folios you choose to create or share.
- Transaction data: plan, purchase status, and limited billing details from payment providers. Card numbers are handled by Stripe, not stored by FIELDFOLIO.
- Technical data: browser, device, pages or features requested, approximate diagnostics, and security events where available from hosting or authentication providers.
- Storage data: preferences, drafts, and session information stored by your browser or device.
B3. Local versus cloud data
Basic or local use may keep drafts, photos, preferences, and job records in browser storage on your device. Clearing browser data, changing devices, browser failures, theft, or device loss can remove local data. When an account or cloud feature is enabled, account and selected job data may be processed by configured providers such as Supabase. Review the feature behavior before entering information.
B4. YOU CONTROL WHAT YOU ENTER
YOU ARE RESPONSIBLE FOR PERSONAL, CUSTOMER, EMPLOYEE, HEALTH, FINANCIAL, AND OTHER DATA YOU ENTER. Collect and share only what you are allowed to handle, provide required notices, obtain permissions, redact unnecessary details, set access appropriately, and honor deletion or access requests from your customers. Do not use FIELDFOLIO as a substitute for your own privacy, security, retention, or legal program.
B5. How information is used
Information may be used to provide, secure, maintain, troubleshoot, personalize, support, bill, and improve the service; respond to requests; prevent abuse; comply with law; and protect rights. We do not sell your personal information for money. We do not use your job content to create a public portfolio without your direction.
B6. Sharing and service providers
We may share information with service providers that help us run FIELDFOLIO, such as payments, hosting, and cloud data, under their own terms and policies, and with authorities or other parties when required by law or reasonably necessary to prevent harm, fraud, or abuse. Links and integrations can take you to third-party services that FIELDFOLIO does not control.
B7. Cookies and browser storage
The site may use essential cookies or browser storage for theme preferences, sessions, authentication, drafts, and app operation. FIELDFOLIO does not currently embed third-party advertising pixels or sell browsing histories. Blocking storage can disable features.
B8. Security and data loss
We use reasonable measures appropriate to the available service, but no website, device, transmission, database, or provider is perfectly secure. WE DO NOT GUARANTEE SECURITY, AVAILABILITY, RETENTION, OR RECOVERY. You use the service at your own risk regarding data loss and must maintain independent backups of important records. Do not enter data whose compromise would create unacceptable risk.
B9. Retention and deletion
We may retain information for as long as needed to provide features, meet business and legal obligations, resolve disputes, prevent abuse, and enforce agreements. Local data is controlled by your device and browser. Cloud or account deletion may depend on the feature and provider. Copies can remain in backups, logs, legal records, or shared recipients’ systems.
B10. Children
FIELDFOLIO is for adults only. Nobody under 18 may use it, and we do not knowingly collect personal information from anyone under 18. If you believe someone under 18 provided information, contact us through the Contact page so we can review it.
B11. Your rights and choices
Depending on where you live, you may have rights to access, correct, delete, export, or restrict certain personal information, or to object to certain processing. We may need to verify identity and may have lawful exceptions. You can also clear local browser storage, stop using optional features, or contact us. We do not discriminate for exercising a privacy right.
B12. Changes
We may update this policy as the service or law changes. The “Updated” date identifies the current version. Continued use after posting means you accept the updated policy to the extent permitted by law.
